Responsible and accountable for:
Manage all processes and lead the team in Central Warehouse
Main tasks
Changing and / or modifying current organizational module as per business requirements needs. Creating a new module is of a value too. This is done in coordination with the direct manager.
Ensure applying policy & procedure, ISO requirements, and SOPs, and evaluate subordinates’ performance accordingly. Act closely with Quality department to solve raised non conformities, based on action plan and time frame.
Monitor closely the weekly report requested by the manager concerning day’s deliveries, GRNs, returns, transfers, and other discrepancies within the W/H together with its solution.
Ensure accurate systematic and manual monitoring of the cooling unit at all times, and report any abnormalities or machinery malfunction to the manager immediately.
Make sure that dispatch lists for drivers are prepared correctly and accurately according to daily plans, and assure the correct hand-over process of the deliveries and dispatch lists to drivers.
Make sure to use the delivery car loading space wisely.
Control the process of smooth fast delivery to clients and official receipt on invoice; together with temperature monitors print outs for Cold Chain products.
Revise and approve the calculation of field trips allowance for drivers.
Revise and counter sign the daily drivers’ cars situation report and advice controller accordingly.
Monitor the process of receiving goods in W/H, specially Cold Chain items, ensure reporting of temperature deviations to Quality department, and take action against damage or loss could occur in order to reconcile the balance.
Ensure GRNs receiving and checking through storekeepers and supervisors, and confirm quantities in the system.
Create and ensure applying a proper invoice handling process starting from issuing until receiving by customer and archiving.
Organize and manage W/H areas, taking in consideration horizontal direction, for better stacking and wise consumption of space.
Ensure proper classification of goods in W/H through different business units in the organization, obeying MOH rules.
Proper officially accepted processes of immediate handling of quarantined, damaged, and expired items, sign its official documents, and report to manager for final approval.
Generate Quarterly report for slow and non moving products.
Ensure clean W/H and proper employee’s appearance. The W/H must be always ready for inspection by authorities.
Ensure accurate and professional archiving system, and assign an employee for the job.
Monitor and inspect items cards occasionally, and conduct and supervise random stock count from time to time for accuracy.
Arrange, supervise, and lead a smooth process of annual Inventory count. It is his responsibility to revise discrepancies and report to the manager.
Report immediately any problem concerning W/H building and assets, fire and alarm system, Cold rooms, power supply, A/Cs, maintenance, licenses, SFDA…etc, to the manager and the admin affairs department for immediate action.
When necessary, should follow-up with the concerned departments regarding return invoices, and report situation to the manager when a higher level of support is required.
Responsible for all administrative issues concerning W/H employees.
Any other task requested by the management related to business.
