The College Registrar is responsible for the overall integrity, maintenance, and security of all undergraduate and graduate student academic records. Provides leadership to plan, organize and manage all of the activities related to the Records and Registration Department, including serving as the official authorized keeper of the university's student records. Plans and develops strategies for maintenance and upgrading of academic information infrastructure. Chairs the College Calendar Committee, the Commencement Appeals Committee, and Co-Chairs the Undergraduate Enrollment Planning Committee and is an active member of the Undergraduate Policy Committee, Graduate Enrollment Planning Committee, and the Special Events Commencement Committee
Essential Responsibilities:
- Responsible for overseeing the operations of the Academic Records and Registration Team (ARR); serves as an internal consultant and implements academic policies; reviews policy exception requests. Develops and manages annual budgets for ARR.
- Recommends and participates in the development and implementation of academic and administrative policies and procedures regarding undergraduate and graduate student registration, cross registration, records, class schedules, instructional space scheduling, graduation requirements, final exam scheduling, statistical reporting, grading, student opinion survey management, Veteran Certification, and new curriculum operational implementation. Enforces both College and team policies.
- Responsible for the integrity of academic information. Coordinates data retention needs and maintains data retention information for the Undergraduate and Graduate programs.
- Oversees certification process for all degrees, oversees ARR's responsibilities with regard to commencements.
- Chair of the Enrollment Model Team whose charge is developing the strategic plans for optimal enrollments of the undergraduate and graduate programs; Chair of the College Calendar Committee whose charge is configuring the academic calendar to meet the academic requirements of each program and optimize the timing of student, faculty, and staff activities.
- In conjunction with the Deans, monitor and identify course demands as well as course enrollment trends.
- Establishes and implements short- and long-range division/team goals, objectives, policies, and operating procedures; monitors and evaluates program effectiveness. Designs, establishes, and maintains an organizational structure and staffing to effectively accomplish the organization's goals and objectives.
- Develops and publishes (print/online) College information documents including, but not limited to class schedules, registration information, course descriptions, and calendar. Provide Registrar information for UG and Graduate Handbooks and Faculty Handbooks.
- Represents ARR to divisions as well as externally to government agencies, students and their parents, and/or the general public.
- Recommends and participates in the development of college policies and procedures; including ARR representation at Undergraduate and Graduate Academic Policy Committees meetings and Undergraduate Policy Group (member of UG and Graduate Process Groups, Fast Track Implementation committee, Undergraduate Cabinet, Graduate Dean Direct Reports Group).
- Upgrades professional knowledge, evaluates new technologies, tests system upgrades, and recommends implementation as appropriate. Promotes strong partnership/networking with software vendor.
- Develop and enforce office policies and procedures with regard to document and cyber security assuring sensitive data and information is accessed only by authorized Registrar’s office personnel.
- Ensures compliance with policies and procedures for the transfer of credit from accredited institutions of higher education. Evaluates transfer credits and Prior Learning Assessment (PLA).
- Stays current with and has an understanding of curriculum requirements and prerequisites for degree programs.
- Serves on/chairs committees.
- Ensures compliance with NEASC, AACSB, and NCAAA guidelines
- Assumes additional responsibilities as required.
