Job Purpose :
Involves accurate filing/monetary cases like refunds and approvals. The administrator is responsible to check the refund cases received via Phone/Email/Walk-in/MCI for UMC. and lodge them as they arrive and follow up with departments. He/She needs to speed up and close the cases with approvals to avoid any further complaints escalations to higher managements/MCI which can include legal actions and penalties.
Duties & Responsibilities
- Keep a track on received cases (arrives by Phone #9200./Email/Walk-in/MCI) for UMC.
- Follow up on complaint cases received for the day in Help Desk which are already lodged by the coordinator.
- Helps the coordinators to do the filing for cases received by MCI/CGME/MCI by regions (Central/Western/Eastern) UMC.
- Understand the complaint received better to build First call resolution.
- Calculate the refund amount coordinating with the departments to make sure the amount refunded is correct.
- Escalate the complaint to the respective department on which it is received and follow up on the same.
- Update the case’s replies as follow ups in Help Desk system, making a case history in the system with details.
- Coordinate with the management to have the approvals done for the refund as need to prepare cheques for the customers.
- Call the customer and send SMS as an when the Cheques are ready for the customer to come and receive it.
- Responsible to make sure the case is solved and should close the case with Help Desk system for UMC.
