  • Maintain and update the manager’s daily, weekly, and monthly agenda.

  • Schedule meetings as per the manager’s availability.

  • Ensure that all meetings arrangements are prepared e.g. required documents, refreshments, tea/coffee, etc.

  • Answer telephone calls on behalf of the manager, redirect them when necessary, take messages and handle correspondences.

  • Respond to telephone calls and transfer them to the manager if he/she is available.

  • Remind the Manager about pending emails and telephone calls.

  • Contact external parties as and when required e.g. clients, candidates, etc. to arrange meetings and interviews.

  • Collect documents and prepare them for the manager’s signature in an organized manner.

  • Send documents after signatures to the respective department/individual.

  • Perform other job related projects and/or assignments that he/she might be asked to do by his/her direct supervisor/manager for special assistance that are often not mentioned in this job description as they arise under specific circumstances
